Write a 2-page Memo.
The second shift Patient Transportation Manager at Mercy Hospital called all of her staff for a meeting to talk about a new method for assigning work orders. First, the manager asked the employee what they like and dislike about how the patient transportation orders are organized. She listened and took notes. The main concerns were that the orders often come “STAT” with little time to respond and ensure that the right equipment is available. Then the manager led a team exercise to determine what the staff valued most about their work assignments. Again, she took notes and paid attention to all responses. The transportation techs really appreciated when they were able to collaborate with the nurses regarding the priority of work that needed to get done, so they were helping the nurses to give the best quality patient care, and get patients safely where they needed to be (Radiology, PT, OT, etc.). The manager told the staff that she would take all of the input and schedule another meeting in one week to share a proposal for how the new work order process would work.
Imagine that you are this Manager. Write a memo summarizing the meeting in 2-3 sentences. Then outline your proposal to address the team's concerns and improve the workflow. This memo should be addressed to the department director and facility administrator. Your intent for the memo is to share the feelings of your staff, outline your plan to improve the process of assigning work orders, and get the support of the department director and administrator before responding to your team in the next team meeting.
